Entry Level Duties Of An Assistant Office Manager

The assistant office manager supports the office manager.


An office manager is responsible for ensuring that the entire office runs smoothly. Depending on the size of the company, this can be a large task. Often, the assistant office manager will help with some of the entry-level duties of the position, such as handling the phone system, interacting with clients or customers who come into the office and managing the office mail. The assistant office manager reports to the office manager and in the future may advance in her career to assume that position, because the foundation for the necessary skills has already been laid.


Clerical Duties


The assistant is often in charge of answering the phones.


The assistant office manager is responsible for giving support to the office manager to keep the company running smoothly. If there isn't a separate receptionist position, the assistant will perform entry-level tasks, such as answering all phone calls that come into the business and directing those calls to the proper employees. Simple clerical support for employees is also a key duty of the assistant. Depending on the type of business, the support could include binding presentations, filing reports, creating spreadsheets or scheduling meetings for all office employees. The office manager generally provides this support only for the top-level executives.


Non-Clerical Duties


The assistant often handles all mailing duties.


The assistant office manager is usually in charge of the mail services, which could include ordering supplies from the post office and loading the company postage meter (also known as the postage machine) with funds to print out postage.


Company office supplies must always be stocked. The assistant orders the regularly scheduled supplies, such as pens and paper, whereas the office manager may be in charge of purchasing major office machines, such as the copier, printers and fax machines.


Typing Duties

For an assistant office manager, typing is an essential skill. In fact, don't be surprised if you're asked to take a typing test. The test will show the company how quickly you type. Your typing duties could include anything from transcribing meeting notes for employees to creating updated phone lists to distribute throughout the office and helping with sales reports or data entry.
